Review, Promotion & Tenure (RPT)

Ohio State began using Interfolio’s Review, Promotion & Tenure (RPT) tool in autumn 2023. RPT leverages standardization, automation and integrations to eliminate the need for manually maintained paper binders.

All Ohio State faculty are required to use RPT to conduct reviews for reappointment, promotion and tenure. Faculty candidates use RPT to submit their materials, which are then accessed for review by committee members, chairs and deans.

This workflow delivers the following benefits:

  • Saves candidates time with efficient digital evaluations
  • Automates key elements of the process with defined workflows
  • Provides academic leadership with a standard reliable source of evaluation data
     

Each college has its own distinct process for managing cases in RPT, including a small number of colleges already opting to use RPT for their faculty’s annual reviews. RPT will be required for faculty’s annual reviews, beginning with the 2025-26 academic year.

Vita was retired on July 31, 2023. Interfolio’s Review, Promotion & Tenure (RPT) tool was rolled out at the start of the 2023-24 academic year. 


What has changed about submitting promotion & tenure (P&T) materials?
The new process is essentially the same, with one exception—you will now log in to Interfolio, then either submit your P&T materials (candidates) or access the materials for review from the candidate’s RPT case (reviewers). Candidates should continue following their tenure initiating unit’s (TIU’s) guidelines for preparing P&T materials. Most materials that TIUs require from candidates will be uploaded either as PDF or Microsoft Word files.
 

 

I am a faculty candidate going up for review. How do I upload materials into my case, and complete any requirements assigned to me in my case?

I have another question not listed here. Whom do I contact?
For all Interfolio questions, including those about training, please reach out to your academic unit’s Interfolio Coordinator(s) (ICs). ICs are associate deans of faculty affairs (or similar) and their teams. They administer their area’s faculty affairs processes—such as those for appointments, and promotion and tenure—and have expertise with related requirements and expectations. If your ICs cannot address your Interfolio concern, they will liaise on your behalf with the Faculty Information System (FIS) team, which manages Interfolio at Ohio State.

Ongoing Known Issues > FAR to RPT

Note: This section describes current known issues with reports that were created in Interfolio’s Faculty Activity Reporting (FAR) tool, and then connected with a case creation template or faculty candidate’s case in Interfolio’s Review, Promotion and Tenure (RPT) tool. 

Issue: Some attached activity documents not generating with Vita reports connected in RPT
Interfolio company’s issue status: Solution in progress

Examples encountered by Interfolio customers:

  • Not all attached activity documents are generated with a FAR Vita report that is connected to an RPT case
  • This occurs when Interfolio finishes generating the vita before all documents are “received” in RPT from FAR

RPT Issues now resolved by Interfolio company

Resolved Issue: Manage Respondents tool displays only the first ten committee members. > Interfolio company reports this issue was resolved in early February 2026.

Examples encountered by Interfolio customers:

  • When someone is using the RPT Manage Respondents tool, only the first 10 committee members are displayed.
  • This occurs regardless of committee type.

 

Resolved Issue: RPT case upload > Interfolio company reports this issue was resolved in late January 2026.

Examples encountered by Interfolio customers:

  • Candidates experience trouble when attempting to add documents to their case packets
  • Case managers experience problems when attempting to add files to candidates’ cases

This problem affects all of Interfolio’s customers, not just Ohio State. As of Monday, February 2, 2026, the Interfolio company’s tech team is actively working to find a solution as quickly as possible. Until this is resolved, the Interfolio company has provided a couple recommended workarounds.

Potential workarounds
Use the Firefox browser in lieu of Chrome and Safari. Currently, Firefox is not affected by this problem.

If you cannot use Firefox, the following steps may work:

  • For candidates: clear your browser’s cache (learn more: go.osu.edu/cache); then log in to Interfolio from a single browser session and click link to Your Packets. Next, click on link to your open case (look in upper area of the Your Packets page, under the Active heading). By default, your case will open on the Overview tab. Try again to upload material(s).
    If the problem persists: Click “Overview” tab in your case. Next, refresh your browser page, and after it reloads, click the Packet tab in your case.
  • For case managers and case reviewers attempting to upload a required file: clear your browser’s cache (learn more: go.osu.edu/cache). Next, log in to Interfolio from a single browser session and click link to Cases. Re-open candidate’s case and re-attempt to upload case materials.
    If the problem persists, click Cases link in the “breadcrumbs” near top of main case window, just above the candidate’s name. By default, your case will open on the Case Materials tab. Next, refresh your browser page, and after it reloads, try again to upload the file(s).

 

Resolved Issue: Candidate case cannot be downloaded as a ZIP file. Interfolio company reports this issue was resolved in mid January 2026.

Problem encountered by Interfolio customers: The case download to ZIP option can be requested as expected, but the ZIP file export never generates under the reviewer’s My Tasks page. PDF downloads still generate as expected.
Note: Ohio State’s FIS team recommends reviewers use the export to PDF option in lieu of the export to ZIP, based on input from several experienced reviewers in multiple academic units.
